ChatGPT Business: pricing, seats, data residency and how to export your data

What ChatGPT Business (formerly ChatGPT Team) costs per seat, the difference between Standard and Premium seats, what is Enterprise-only, how data residency works in Europe, and how exporting chats actually works in a Business workspace.

ChatGPT Business is OpenAI's self-serve plan for companies: a shared workspace, admin controls, and the promise that your content is not used for training. It is what most companies buy first, and the questions afterwards are always the same: which seat type, what do we not get compared with Enterprise, where is our data, and how do we get it out again.

This guide answers those questions. Facts are from OpenAI's pricing page and help centre as of October 2026. OpenAI changes plans and limits often, so check the linked pages before you sign.

Business is the new name for Team

OpenAI renamed ChatGPT Team to ChatGPT Business on 29 August 2025. Only the name changed at the time: features, pricing, limits and contracts carried over. Older articles and procurement documents that say "Team" mean the same product.

ChatGPT Business pricing

Business has two seat types, and you can mix them in one workspace:

SeatBilled monthlyBilled annuallyUsage
Standard$25 per user / month$20 per user / monthStandard limits, including a five-hour usage window
Premium$125 per user / month$100 per user / month5x the usage of Standard, no five-hour limit

A workspace needs at least two paid seats, in any combination. Seat types can be reassigned between people, which makes Premium practical for the handful of heavy users rather than everyone.

What Business includes

According to OpenAI's help centre, both seat types include:

  • ChatGPT with OpenAI's current models, within each seat type's limits
  • Projects, custom GPTs and apps (connectors to company tools)
  • Company knowledge, deep research and agent mode
  • Codex for software development
  • A shared workspace with admin controls and SSO

The model lineup and the exact message limits change often; OpenAI keeps them on its Business models and limits page. Premium seats get the same features with more usage, not different features.

What is Enterprise-only

This is where the decision usually sits. Features OpenAI lists for Enterprise (and Edu) but not Business:

NeedBusinessEnterprise
SSOYesYes
SCIM (automatic user provisioning and removal)No, users are added and removed by handYes
Custom data retentionNo, chats are kept until deletedYes, minimum 90 days
Compliance API (export of conversations, files and users for audit)NoYes
Enterprise key management (your own keys in AWS, GCP or Azure)NoYes
Inference residency (processing stays in region)NoEurope, US or UAE
Workspace analytics exportNoYes

No SCIM is the one that bites first in a company with more than a few dozen users: leavers are not removed automatically when they are disabled in your identity provider, so offboarding becomes a manual checklist item.

Data, privacy and residency

Training. OpenAI does not train on Business or Enterprise content by default. Data is encrypted at rest (AES-256) and in transit (TLS 1.2+). A data processing addendum (DPA) is available for Business, and the plan is covered by OpenAI's SOC 2 Type 2 report.

Retention. In Business, chats are kept until the user deletes them. Deleted chats are removed from OpenAI's systems within 30 days unless OpenAI must keep them for legal or security reasons. There is no admin-set retention period on Business.

Data residency in Europe. OpenAI offers data residency (storage at rest) in Europe (the EEA and Switzerland), the UK, the US, Canada, Japan, South Korea, Singapore, India, Australia and the UAE. Three caveats for Business:

  1. It is rolling out gradually to Business workspaces, so not every workspace has it yet. Your region is shown under Workspace settings → General, but you cannot change it there.
  2. Inference residency, where processing also stays in Europe, is Enterprise and Edu only.
  3. Even with a non-US region, OpenAI keeps safety and abuse-monitoring data in the US, including a time-limited copy of prompts and responses.

For a European company, that third point is what your DPO needs to see. It does not rule Business out, but it means "EU residency" on Business is storage in Europe, not processing only in Europe.

How to export data from ChatGPT Business

Here the plans differ in ways that surprise people.

Members cannot export their own workspace data. In a Business, Enterprise or Healthcare workspace, a member's export request goes to the workspace owner. The self-service export many guides describe applies to personal accounts.

Personal accounts export like this: Settings → Data controls → Export data → Export → Confirm export. You receive a ZIP of your chat history, including a conversations.json file, by email. It can take up to seven days, and the download link expires 24 hours after it arrives.

Enterprise and Edu have the Compliance API, which delivers time-windowed logs of conversations, files, GPTs, memories and users. Logs are kept for 30 days, so an organisation that needs a complete archive has to collect them continuously.

A single conversation is shared with a shared link. In a Business workspace, only members of the same workspace can open it, and opening it creates a private copy for the viewer. Links are managed under Settings → Data controls → Shared links. OpenAI does not document a built-in PDF or Markdown export for an ordinary chat.

The practical consequence: plan your exit before you need it. If you might move to Enterprise, another vendor or a different setup later, the workspace owner is the only route out for Business content, and there is no API to automate it. Moving from Business to Enterprise can keep the same workspace and its data through OpenAI's sales team.

Bringing personal chats in works the other way: from the Business workspace, Settings → Data controls → Merge data from your personal workspace moves chats, files and projects into the company workspace, after which the company controls them.

Business, Enterprise, or something else?

Business fits a team of up to a few dozen people who want ChatGPT with sensible defaults, can live with manual user management, and do not need audit exports.

Enterprise fits when you need SCIM, retention policies, audit exports through the Compliance API, your own encryption keys, or processing kept in Europe.

A gateway fits when the company wants more than one model vendor, budgets per team, one log across everything, and processing in its own EU cloud tenant rather than a vendor's workspace. That is what Walma AI Hub does: OpenAI's models alongside Claude and others, running in the customer's own Azure tenant in an EU region, with every call logged. Our ChatGPT in the EU page compares that setup with ChatGPT Enterprise in detail, including which OpenAI models are available in Azure's EU Data Zone.

Before you buy: a checklist

  1. Seat mix. Who are the heavy users who need Premium? Everyone else on Standard.
  2. Offboarding. Without SCIM, who removes leavers, and how fast?
  3. Residency. Is your workspace's region set, and is storage-only residency enough for your DPO?
  4. Exit. Who is the workspace owner, and what is the process if you need everything out?
  5. Connectors. Which company systems will people connect, and who approves them? Each connector is a data flow; see our MCP security guide for the questions to ask.
  6. AI policy. The EU AI Act requires staff using AI to have appropriate AI literacy; buying the tool is the start of that work, not the end. See What is AI governance?.

Frequently asked questions

How much does ChatGPT Business cost?+

At the time of writing, a Standard seat costs $25 per user per month billed monthly, or $20 per user per month billed annually. A Premium seat costs $125 per month billed monthly, or $100 per month billed annually. A workspace needs at least two paid seats, in any combination. Check OpenAI's Business pricing page for current prices.

Is ChatGPT Business the same as ChatGPT Team?+

Yes. OpenAI renamed ChatGPT Team to ChatGPT Business on 29 August 2025. Only the name changed; features, pricing, limits and contracts stayed the same at the time of the rename.

Does OpenAI train on ChatGPT Business data?+

No, not by default. OpenAI states that it does not train its models on content from Business or Enterprise workspaces by default, and that data is encrypted at rest (AES-256) and in transit (TLS 1.2 or higher).

Can I export my chats from ChatGPT Business?+

Not yourself. Members of a Business or Enterprise workspace cannot export their own workspace data; export requests go to the workspace owner. The self-service export under Settings, Data controls, Export data applies to personal accounts. You can share an individual conversation with colleagues in the same workspace through a shared link.

Does ChatGPT Business offer EU data residency?+

OpenAI is rolling out data residency to Business workspaces gradually, with Europe (the EEA and Switzerland) among the regions for data at rest. Inference residency, where processing also stays in the region, is only available on Enterprise and Edu. Even with a European region, OpenAI keeps some safety and abuse-monitoring data in the US.
